Who we are

ROM Squad is a WhatsApp community for women business owners, run by Rays of Marketing, a sole proprietorship in India owned by Rizak ("we", "us" or "our").

This policy applies to our website, our joining form, the ROM Squad WhatsApp community and our online meetings.

What we collect

• Information you give us on the joining form: your name, phone number, email address, city, Instagram handle and details about your business.
• Information shared in the community: your WhatsApp name, number and profile photo (visible to other members, as with any WhatsApp group), and the messages, photos and posts you share.
• Online meetings: your name and video, if you turn your camera on, during community meetings held on video platforms.
• Payment information: payments are handled by a secure third-party payment provider. We receive a confirmation of payment, but we never see or store your full card or bank details.
• Website information: basic technical information, such as your browser and pages visited, may be collected by our website host or analytics tools.

How we use it

• To review your joining form and contact you about your trial and membership, including on Instagram, WhatsApp or email.
• To add you to the community, run it and share updates and meeting details.
• To process and confirm membership payments and send invoices.
• To keep the community safe and enforce our Community Guidelines.
• To feature members on our website and in our marketing, as explained below.
• To meet our legal obligations.

Screenshots and marketing

By joining ROM Squad, you agree that we may use the following in our marketing, including on our website and social media:

• Screenshots of messages, testimonials and conversations from the community
• Screenshots and photos from our online meetings

When we do this, we will hide or blur phone numbers and will not share sensitive personal information. Before we feature you individually, for example with your photo, name and business on our members page, we will ask for your permission first.

Who we share it with

We do not sell, rent or trade your personal information, and we never share it with other businesses for their marketing.

We only share information where it is needed to run the community:

• Other members: your WhatsApp name, number, profile photo and anything you post are visible to other members of the group.
• Service providers we use: such as Google (forms and email), WhatsApp and Instagram (Meta), our video meeting platform, our payment provider and our website host. They handle information only to provide their services, under their own privacy policies.
• Legal reasons: if required by law, a court or a government authority, or to protect the safety or rights of our members or ourselves.

Some of these providers may store information on servers outside India.

How long we keep it

We keep your information while you are a member and for up to 12 months after you leave, so we can handle any questions, renewals or disputes. After that, we delete it, unless we are required by law to keep it longer. If you don't continue after your trial, we keep your joining form details for up to 12 months, unless you ask us to delete them sooner.

How we protect it

We take reasonable steps to protect your information, such as limiting who can access it and using secure, password-protected tools. No method of storing or sending information online is completely secure, so we cannot guarantee absolute security.

Anything you post in the WhatsApp group can be seen by all members, so only share what you're comfortable sharing with the community.

Your rights and choices

You can contact us at any time to:

• Ask what personal information we hold about you
• Correct or update your information
• Ask us to delete your information
• Withdraw your consent, including for marketing use
• Raise a concern or complaint about how we handle your information

If you withdraw consent or ask us to delete your information, we may no longer be able to provide your membership. This does not affect anything we did before your request. We aim to resolve requests within 30 days.

Age

ROM Squad is only for women aged 18 and over. We do not knowingly collect information from anyone under 18.

Changes to this policy

We may update this policy from time to time. We will post the updated version on this page with a new date, and tell members about any important changes.
